Partial/Full Coordination Packages

Congratulations on your upcoming union/event! It is an honor that you are considering sharing your special day with Perfect “Cynt’s” Event Planning & Decor, LLC. It is highly recommended to alleviate your stress by using a Month/Day-of-Coordinator or full service Event Planner to assist with ensuring everything goes as planned and your vision comes alive. You will find our current options along with a list of varying responsibilities for each below. Once you have made a selection, contact us to schedule a free consultation or to book your request! 

**Travel expenses inclusive of room/board and fuel may be incurred if the event/venue is further than a 100 mile round-trip radius from Winston Salem, NC. (Current fuel charge rate: $.50/mile **calculated to/from event/venue–first 50 miles always free)

Introductory Promotion: Add our recently purchased 360 booth to any coordination package for $75/hr. Minimum booking of 2 hours. Booking solo—$100/hr.

Day-Of-Coordinator: “Get Us Through” Silver Package $700 **Most Popular Package

25% deposit required and balance may be split in up into payments. *Alternate payment arrangement available upon request; however, the 25% deposit amount will remain nonrefundable.

*Special pricing available for smaller parties/guest count (micro wedding).

If you have everything planned out and just need someone to simply execute the plans, THIS is the package for you!

Wedding Rehearsal (2 hour maximum) $25/hr additional time 

  1. Work with the wedding officiant to lead the wedding rehearsal to rehearse the processional, ceremony, and recessional 
  2. Ensure the wedding party knows when and where to be on the wedding day

Day of Event: 

  1. Arrive two hours prior to ceremony and will remain onsite until end of reception. (maximum of 8 hours of coverage included and $50/hr each additional hour if requested to stay beyond the 8 hours)
  2. Point of contact for clients, vendors, and bridal party
  3. Keep the wedding on schedule by making sure that the wedding party is getting ready on time
  4. Take responsibility for the marriage license
  5. Provide guidance to the ushers on how and where to seat guests for the wedding ceremony
  6. Confirm that the place cards and guest book are in place for the reception
  7. Ensure that wedding party members are in their positions before the wedding processional begins
  8. Review the names of the bridesmaids, groomsmen, and other members of the wedding party so that the DJ knows how to pronounce them
  9. Make sure that the DJ abides to the timeline for wedding reception announcements
    **This package does NOT include assistance with major decor setup/tear-down/clean up process but it may be added for an additional cost.

Month-Of-Coordinator: “No Worries” Gold Package Special $1500

20% deposit required and balance may be split in up into payments or full balance due 14 days before wedding. *Alternate payment arrangement/deposit amounts accepted upon request; however, the 20% deposit amount will remain nonrefundable.

So you’ve hired all the vendors but you need someone to coordinate deliveries and make sure everything is in place the day-of, and you need help with creating and managing timelines, setup, and take down? THIS is the best package for you!

One Month Prior to Event:

1. Confirm all vendor contracts

2. Provide a set-up timeline so that all vendors know when to arrive at the wedding/reception venue

3. Create a day-of-timeline with the couple  

4. Ensure all bridal party members are notified of timeline/expectations

5. Attend an in-person venue final walkthrough with clients

One Week Prior to Event:

  1. Confirm timeline plan with vendors. 
  2. Ensure all vendors know when and where to be and where to set up. 
  3. Ensure that all vendors know to contact Perfect Cynt’s Event Planning & Decor, LLC (phone, txt, email) with any and all questions during the event.

Day of Event: 

  1. Onsite full day and point of contact for clients, vendors, and bridal party. (Will arrive at time of 1st vendor or access time of venue if assisting with decor setup)
  2. Keep the wedding on schedule by making sure that the wedding party is getting ready on time
  3. Take responsibility for the marriage license
  4. Provide guidance to the ushers on how and where to seat guests for the wedding ceremony
  5. Confirm that the place cards and guest book are in place for the reception
  6. Ensure that wedding party members are in their positions before the wedding processional begins
  7. Review the names of the bridesmaids, groomsmen, and other members of the wedding party so that the DJ knows how to pronounce them
  8. Make sure that the DJ abides to the timeline for wedding reception announcements
  9. Oversee the tear-down process

Full Wedding Planner/Coordinator: “The Takeover” Platinum Package $4000

15% nonrefundable deposit required and monthly, bi-monthly, or quarterly payment plans available for remaining balance.

If you don’t have the time to find/secure the vendors and you want someone else to handle it all for your special day including the planning, setup, takedown, paperwork such as save-the-dates/invitations, timelines, RSVPs, and seating charts, THIS is the plan for you!

Added bonus: If hired to provide full service inclusive of wedding planning, coordinating, and decorating, client will obtain free rental access to in-stock inventory which includes candle holders, tea light candle holders, cylinder vases of varying heights, mirror tiles, white floral arrangements, large rose gold (color can be changed) or gold-glittered mason jars, ivory rectangular tablecloths, ivory stretch chair covers, standard gold glitter charger plates, and silver charger plates. *Please note: There may be a slight fee for labor if required for rentals —ex: creating floral arrangments will incur additional charges but the rental is free of charge.

Upon Hire:

  1. Face-to face (if within 25 mile radius) or virtual consultation to get to know client’s, capture their vision and create a detailed plan of action.
  2. Assist with developing and tracking a budget
  3. Reach out to client’s choices of venues/vendors to obtain their rates, availability, services offered and schedule consultations/visits as needed.
  4. Booking of vendors/venue after clients have made a final decision.
  5. Provide assistance in ordering save-the-dates, wedding invitations, and other printed materials.
  6. Unlimited access to planner for advice/guidance (8:00 am-8:00 pm) After hours communication will be followed up on the following business day.

One Month Prior to Event:

  1. Organize RSVP’s and meal requests from the guest list
  2. Assist in creating the seating chart (if requested)
  3. Confirm all vendor contracts
  4. Provide a set-up timeline so that all vendors know when to arrive at the wedding/reception venue
  5. Create a photography timeline with a list of any specific images you want to capture
  6. Create a day-of-timeline with the couple  
  7. Ensure all bridal party members are notified of timeline/expectations

One Week Prior to Event:

  1. Confirm timeline plan with vendors 
  2. Ensure all vendors know when and where to be and where to set up 
  3. Ensure that all vendors know to contact Perfect Cynt’s Event Planning & Decor, LLC (phone, txt, email) with any and all questions during the event

  2. Ensure the wedding party knows when and where to be on the wedding day

One Day Prior to Event:

  2. Confirm that all rentals have been delivered and set up on time

Day of Event:

  1. Point of contact for clients, vendors and bridal party.
  2. Have an emergency kit on hand that includes all sorts of health, fashion, and beauty essentials (just in case!)
  3. Keep the wedding on schedule by making sure that the wedding party is getting ready on time
  4. Take responsibility for the marriage license, vows, and rings
  5. Provide guidance to the ushers on how and where to seat guests for the wedding ceremony
  6. Confirm that the place cards and guest book are in place for the reception
  7. Ensure that wedding party members are in their positions before the wedding processional begins
  8. Review the names of the bridesmaids, groomsmen, and other members of the wedding party so that the DJ knows how to pronounce them
  9. Make sure that the DJ abides to the timeline for wedding reception announcements
  10. Oversee the tear-down process
  11. Facilitate the process of packing up gifts, cards, and miscellaneous ceremony and reception items and have them ready to be taken to a family member’s vehicle at the end of the night 
  12. Coordinate the couple’s departure from the reception 
  13. Coordinate departure transportation

Celebration Packages (Birthdays/Showers)
Party Pack for 25 guests—$450; 50 guests–$800; 100 guests—$1500

Includes travel/setup/breakdown within 50 miles (travel fee applies after limit), matching themed or color backdrop w/balloon garland, welcome sign on easel, linen tablecloths, standard centerpieces that match the theme and/or color, head table decor for parents or honoree, gold or silver charger plates, and plastic disposable tableware (plates, cups, forks, and napkins). Chair covers and sashes may be added for an additional cost— $1/per chair cover and $.50/sash.

Event Add-Ons

Balloon Arches and Columns $50 & Up depending on size requested (plus cost of balloons)

360 Booth (unlimited spins) or iPad PhotoBooth (unlimited digital pics)— $100/hr if added to a package or with a service; $150/hr if rented alone.

Setup Decorations only— pricing based off of labor time/guest count and customized to client’s vision/budget. (Client pays costs of decor plus labor)

Tear down/clean up process— pricing based off of labor time/guest count.
